The Executive Administrative Assistant provides essential support to high-level executives, ensuring the smooth functioning of daily operations. This role demands exceptional organizational skills, discretion, and the ability to handle sensitive information confidentially.

Key Responsibilities

  • Calendar Management: Efficiently manage executive schedules, meetings, and travel.
  • Communication: Serve as the primary contact for internal and external stakeholders, handling emails, calls, and inquiries.
  • Document Preparation: Prepare and edit correspondence, presentations, and reports.
  • Meeting Coordination: Organize meetings, prepare agendas, take minutes, and follow up on action items.
  • Travel Arrangements: Arrange detailed travel plans, optimizing cost and efficiency.
  • Information Management: Maintain filing systems, databases, and records; process PO’s and invoices.
  • Project Support: Assist with project management tasks, including research and data analysis.
  • Confidentiality: Handle sensitive information with the utmost discretion.
  • Expense Management: Track and reconcile expenses according to company policies.
  • Office Management: Oversee office supplies and facilities to ensure a productive environment.


  • Associate’s Degree or equivalent experience; Bachelor’s degree in business administration preferred.
  • 3+ years of experience as an executive assistant or similar role, preferably supporting senior executives.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Proficiency in MS Office and relevant software applications.
  • Legal authorization to work in the United States without employer sponsorship.
